We’re looking for a high-performing Executive Assistant to partner with our Chief Financial & Digital Officer. This is a pivotal role for someone who enjoys operating at pace, brings order to complexity, and combines impeccable organisation with sound judgement and absolute discretion. 

You’ll help create the rhythm of the CFO their leadership teams’ agenda: protecting focus time, anticipating what’s coming, and ensuring leadership moments are prepared, purposeful and actioned. You’ll keep priorities clear, execution sharp, and the day-to-day running smoothly—so leaders can focus on decisions. 

 

What you’ll do 

 

  • Own and optimise a complex executive calendar, confidently prioritising and managing trade-offs 

  • Coordinate leadership and governance meetings end-to-end: attendees, logistics, materials, follow-ups and action tracking 

  • Orchestrate domestic and international travel with time-zone planning and contingency thinking 

  • Produce polished, executive-ready outputs: presentations, briefing notes and documentation aligned with company standards 

  • Draft, edit and proofread confidential correspondence with precision and professionalism 

  • Track and process expenses and invoices, ensuring timely completion and clear traceability 

  • Support & plan Finance leadership events and off-sites with smooth, detail-driven execution 

  • Partner with stakeholders across BIC and work effectively with third-party vendors

You’re calm under pressure, detail-driven, and highly reliable. You know how to act as a trusted gatekeeper while keeping stakeholder experience strong. You operate with autonomy, take ownership end-to-end, and you’re comfortable working with senior leaders across functions and geographies. 

Qualifications 

  • 5–10 years of progressive Executive Assistant experience; C-suite/ExCom/Board exposure strongly preferred. Experience with international Finance organisations strongly preferred. 

  • Strong expertise in complex scheduling/calendaring and international travel coordination 

  • Advanced Microsoft Office skills (Outlook, PowerPoint, Excel—including building/maintaining spreadsheets) 

  • Tech-savvy across devices; iPhone/iPad administration is required 

  • Bachelor’s or Associate’s degree preferred 

  • Bilingual English/French and international exposure strongly preferred 

  • Flexibility and willingness to handle both strategic and routine tasks
