The Operations and Transport Coordinator position is based out of Keysborough, 5 days on-site, and primarily supports the Operations Manager & Customer Service Team.

  1. Coordinate the day-to-day order picking schedules for the AU warehouse team. (15% of time).
  2. Monitor the day-to-day performance of the NZ 3PL Operation. (5% of time).
  3. Monitor the day-to-day performance & costs for local transport providers for both AU & NZ outbound orders.  Ensure SLAs are meet in line with Budget. (60% of time).
  4. Responsible for warehouse scheduling for import & export shipments for AU & NZ. (10% of time)
  5. Support the Customer Service Team & Planning on customer claims / compliance issues raised. (5% of time).
  6. Support regulatory & sustainability compliance related tasks for MSDS, NICNAS & sustainability actions. (5% of time

 

Coordinate the day-to-day order picking schedules for the AU warehouse team 

  •  Downloading & printing of orders for the warehouse pickers.
  • Scheduling with the despatch clerk the picking of orders in line with customer due dates.
  • Prioritising critical / time sensitive orders & working with sales & planning teams for EOM & YE Order Scheduling.
  •  Booking Customer Timeslots in portals.

 

Monitor the day-to-day performance of the NZ 3PL Operation 

  • Monitor the day-to-day performance of the NZ 3PL Operation (orders receipt, returns, production, inbound, outbound & freight). Take action to resolve issues working with the relevant parties within Bic & 3PL. 
  • Work closely with NZ Sales Team, Customer Service & Planning to ensure that all issues are resolved promptly, and that proactive action is taken to plan around key events ie: end of month, Mid-Year & BTS etc.

 

Monitor the day-to-day performance & cost of the local transport providers 

  •  Monitor the day-to-day performance of transport providers. Take action to resolve issues working with the relevant parties.
  • Regular updates to sales teams on carrier performance. 
  • Close collaboration with sales, customer service, the operations and logistics providers on actions to mitigate risk to delivery performance.
  • Troubleshoot delays, damages, or logistical issues calmly and effectively.
  • Reconcile, validate, and report on the monthly billing from local transport providers.  Investigate and report on, discrepancies and variations from agreed rates.
  • Responsible for the co-ordination of the Monthly, Quarterly & Annual KPI Review with the transport providers.  Prepare any required information and action outcomes from the reviews.

 

Responsible for warehouse scheduling for import & export shipments for AU & NZ 

  •  Preparing and distributing the Export / Inbound Report to 3PL providers in NZ.
  • Liaise with NZ 3PL, freight forwarders, shipping lines, and customs brokers to arrange transportation.
  • Track export shipments and resolve any delays or issues promptly.
  • Regular updates to relevant stakeholders on carrier performance. 
  • Close collaboration with sales, customer service, the operations and logistics providers on actions to mitigate risk to export delivery performance.
  • Troubleshoot delays, damages, or logistical issues calmly and effectively.

 

Support the Customer Service & Planning on customer claims / compliances issues raised.

  •  Investigate customer stock (return) claims & provide recommendations to Manager to prevent further claims.
  • Prepare compliance report responses for customers & provide recommendations to Manager to prevent further claims.
  • Stock inspection for customer product compliance concerns.

 

Support regulatory & sustainability compliance related tasks for MSDS, NICNAS & sustainability actions. 

  •  Maintain MSDS Database
  • Maintain MSDS Forms
  • Prepare data for NICNAS Reporting
  • Preparing data for HSE (Sustainability) Reporting

 

Specific Job Requirements:

Essential:

  1. Minimum 3-5 years of Warehouse, Logistics, Supply & Purchasing experience ideally in a FMCG environment   
  2. Highly organized and able to hold teams accountable to timelines
  3. Effective communication and analytical skills
  4. Excellent relationship building skills & experience in supplier liaison 
  5. Advanced skills in Microsoft Excel
  6. Advanced experience and working knowledge in JDE or similar platform
  7. Experience in importations including dealings with customs agents, freight forwarders and overseas operations
  8. Able to work under pressure
  9. Has a continuous improvement mind-set
  10. Helpful "can do" attitude

 

Desirable:

  1. Experience using SAP/JDA/JDE
  2. Working knowledge of Power BI Tools
