Associate, Order to Invoice with German

The position of Associate, Order to Invoice is part of the Order to Cash (OTC) Line of BIC Sofia. Within the scope of Associate is to: 

  • Manage sales orders accurately and on time, in line with Standard Operating Procedures (SOP) and Service Level Agreement (SLA) 
  • Communicate effectively with internal and external stakeholders about incoming orders, price inquiries, supply inquiries, delivery management, order status follow-up 
  • Resolve any issues related to order execution from sales order receipt till billing  

The role requires high levels of Customer support and interaction with multiple markets. 

 

Key accountabilities:

  • Manage sales orders received by BIC via agreed channels (email, EDI, SFA, RPA, customer portals...)  accurately, on-time, and in line with internal procedures and with agreed service level targets 
  • Manage requests related to sales orders execution, with appropriate follow-through, in line with internal procedures and agreed service level targets 
  • Manage tickets related to the above in line with SNOW policies 
  • Ensure proper execution of billing procedures and controls  
  • Front-office for customer contact: telephone, e-mail, chat contact with customers 
  • Independent to establish and maintain Internal and External stakeholders’ relationships 
  • Train and support Junior Associates’ in performance and deliverables  
  • Deliver and ensure capturing in a timely manner of all types of orders in terms of quality, error rate and feedback of service execution  
  • Contribute to the implementation of new processes and to continuous improvement initiatives in his area of expertise 
  • Contribute to Internal and External Audit and to SOX compliance  
  • Upon request, to be able to perform Customer Care team responsibilities 
  • Participates in process improvement and automation initiatives impacting broader teams 
  • Maintain up to date customer specific knowledge

 

Knowledge, skills and experience :

  • High school degree (University education is desired) 
  • 1-2 years of experience in a Shared Services environment for a global company is required or being in Junior role for at least 1 year 
  • Advanced English and German
  • Exposure to ERPs; JDE is a plus 
  • Strong communication skills: clear and professional interaction with internal teams and customers 
  • Ability to work in teams, with deadlines and time pressure 
  • High ethical standards  
  • Ability to prioritize and manage multiple tasks 
  • Proficiency in MS Office (especially Excel); ERP experience preferred 
  • Analytical and problem-solving skills 
  • Knowledge of order-to-cash process and financial principles preferred
