The Executive Assistant to the VP Value Chain Excellence and Managing Director of BIC Violex is responsible for keeping priorities clear, execution sharp, and maintaining control when agendas are demanding and pressure is high. This role supports the executive in a fast-paced, international environment, ensuring order, sound judgment, and discretion across all aspects of executive support. It requires a high-performing professional who thrives under pressure, anticipates needs before they arise, and partners closely with senior leaders to protect their time, focus, and leadership effectiveness.
Responsibilities:
- Manage and optimize the Managing Director/VP's complex calendar, balancing competing priorities and ensuring effective time management in a dynamic business environment.
- Lead the end-to-end coordination of executive leadership, governance, and strategic meetings, including agenda development, logistics, preparation of meeting materials, minute-taking, and follow-up on action items.
- Plan and coordinate domestic and international travel, delivering seamless itineraries, multi-time-zone scheduling, visa and logistical arrangements, and contingency planning.
- Prepare high-quality executive communications, including presentations, reports, briefing packs, board materials, correspondence, and other confidential documentation.
- Serve as a trusted point of contact for the Managing Director/VP, fostering effective communication and collaboration with senior leaders, internal and external stakeholders.
- Manage executive administration, including the timely processing of expenses, invoices, purchase requests, and other financial and administrative activities, ensuring accuracy and compliance with company policies.
- Coordinate executive events, leadership off-sites, site visits, customer meetings, and other strategic engagements, ensuring flawless execution and exceptional stakeholder experience.
- Facilitate cross-functional collaboration by coordinating activities across multiple business units, tracking key deliverables, resolving issues, and driving timely execution of business priorities.
- Build and maintain strong, professional relationships with internal and external stakeholders, enabling effective decision-making and supporting the achievement of business objectives.
- Anticipate executive needs, exercise sound judgment, proactively identify and resolve issues, and ensure the smooth, efficient, and confidential operation of the Managing Director/VP's office.
Qualifications:
- Bachelor’s degree preferred; associate degree or equivalent experience considered
- Approximately 10 years of experience as an Executive Assistant supporting senior executives
- Strong experience managing complex calendars, prioritizing competing demands, and coordinating domestic and international travel
- Advanced proficiency in MS Office (Outlook, PowerPoint, Excel, Word), virtual meeting platforms and travel coordination tools
- Full professional fluency in English (written and spoken)
- Highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment
- Strong judgment, discretion, and ability to handle confidential information
- Flexible, proactive, and hands-on, with the ability to support both strategic and administrative needs
