JOB DESCRIPTION
The Investor Relations Coordinator has a key role within the IR team. You will report to the VP Investor Relations and provide proactive support to the entire Investor Relations team (4 people) with quarterly, yearly and ad-hoc projects led throughout the year. You will work in close coordination with colleagues, transversally and internationally, and external service providers.
You will manage several responsibilities simultaneously, sometimes under pressure, with changing priorities.
His/her main responsibilities will include but are not limited to:

Coordinate the organization of quarterly earnings releases and yearly events and projects (AGM, Convening notice, Universal Registration Document (URD) preparation

In close coordination with C-Suite assistants, schedule preparatory meetings including steering committees, results rehearsals… (internal and external meeting organization)

Responsible for organizing quarterly earnings and ah-hoc conference calls / webcasts (coordinate with external service suppliers)

Assist with quarterly results and AGM publication process: checklist/process, AGM logistics (coordinate with internal teams and external agencies), website update, regulated information platform

Support the IR team with the production of annual financial communication documents including Universal Registration Document and Convening Notice for the AGM (liaising with transversal teams for data gathering and proof reading)
2. Schedule and organize all Investor Relations meetings / calls with sell-side and buy-side analysts / investors, including: roadshows /conferences / Investor Days / Factory visits…

Deliver effective organization of all Investor Relation events, which requires extensive and rigorous calendar management

Build solid relationship with Brokers Corporate Access teams to ensure optimization of CEO/CFO and IR teams time when building itineraries

Prepare investor profiles and briefing books for Management and IR Team prior to meetings and ensure the meeting details and notes are well entered in the CRM investor database platform

Close coordination with CEO and CFO executive assistants to ensure smooth logistics during investor roadshows and conferences
3. Manage Information and Communication tools

Maintain Investor data base (CRM) and support the team with investor targeting

Update the IR section of BIC’s website including validated Regulated Information
-
In charge of the publication of regulated information on the dedicated platform
-
Manage the Investor Relations mailbox, coordination and ensuring prompt response to external inquiries by the IR team

Create and maintain various contact distribution lists, internal and external, and follow-up correspondence.
4. Administration
-
Assist the IR team with day-to-day administration, agenda, travel organization and expenses.

Responsible for tracking Investor Relations team budget, including budget planning (rolling forecasts updates), invoice management, analysis of budget deviations

Support the IR teams invoices’ processes (creation of new suppliers)

Maintain checklists/processes
QUALIFICATIONS
-
You have at least 5 years’ experience in a similar position (event management, executive assistant, or ideally assistant or coordinator of an investor relations team)

Excellent interpersonal skills and a strong sense of responsibility in dealing with confidential information

Excellent written and oral communication skills in both English (C1 minimum) and French

Strong time management and organizational skills.

Detailed oriented and rigorous

Team player, open-minded and ability to work in an international environment
