Job Description

 

The Office Assistant will be responsible to efficiently manage and control the company’s leased vehicle fleet, including payment of taxes, scheduling automotive maintenance, and coordinating all vehicle-related actions provided to employees. Additionally, to handle administrative tasks related to insurance policies (corporate vehicles, health insurance, and other contracted policies) and ensure compliance with corporate regulations and civil protection requirements. This role is critical in maintaining operational efficiency, ensuring legal compliance, and minimizing corporate risks related to fleet and insurance management.

 

 

What You’ll Do: 

 

  • Ensure the proper administration and control of company-leased vehicles by tracking maintenance schedules, payments, and compliance with leasing agreements.
  • Schedule and follow up on preventive and corrective maintenance services with mechanics and service providers to ensure vehicle safety and performance.
  • Oversee vehicle tax payments (Tenencia/refrendo,etc), ensuring all corporate cars comply with legal requirements and avoiding penalties.
  • Manage corporate insurance policies, liaising with brokers to ensure timely renewals, claims processing, and compliance with contract terms.
  • Organize and schedule civil protection training, ensuring compliance with regulations and enhancing workplace safety.
  • Act as the main point of contact for employees with company vehicles, addressing inquiries and ensuring timely resolution of issues.
  • Continuously review and enhance administrative processes to increase efficiency and minimize risks related to fleet and insurance management.

 

 

Projects You’ll Work On: 

 

  • Ensuring timely compliance with vehicle tax payments and lease obligations to avoid fines.
  • Managing insurance policies efficiently to ensure seamless renewals and claim handling
  • Coordinating multiple vehicle maintenance schedules and ensuring minimal downtime.
  • Addressing urgent issues related to fleet management and providing swift resolutions.
  • Keeping track of all administrative requirements and ensuring adherence to corporate policies.
  • Responsible for managing a corporate fleet of company-leased vehicles.
  • Overseeing various corporate insurance policies, including vehicle and health insurance.
  • Ensuring compliance with tax payments, insurance coverage, and civil protection regulations.
  • Handling inquiries and providing assistance to employees regarding company-provided vehicles and insurance coverage.

 

 

What We’re Looking For In You: 

 

  • Bachelor’s degree 
  • Technical degree or equivalent experience in administrative management.

  • Experience in handling paperwork, permits, and legal compliance.

  • Basic knowledge of automotive maintenance and leasing agreements

  • Strong organizational and time management skills.

  • Experience dealing with external service providers (Brokers, mechanics, etc).

  • Strong attention to detail and ability to track multiple deadlines.

  • Effective communication and problem-solving skills.

  • Proficiency in Microsoft Office and administrative tools.
