Overview:

As Executive Assistant to our General Manager Europe and the Head of Functions (Finance, Sales Development, Marketing, Human Resources) you will have a key role to provide executive support and ensure the effectiveness of our Europe management team.

Your responsibilities will include the day-to-day organization and management of key leadership meetings, including subsequent communications, administrative support, and management of internal communications.

 

Main responsibilities: 

 

Time management and administration

  • Provide sophisticated calendar management

  • Create a bridge for smooth communication between the Europe Management team and other internal departments, as well as external partners – stay connected with other executive PA globally to anticipate and coordinate travel/visit/meetings agendas.

  • Work closely and effectively with the GM Europe and the Head of Functions to keep them well informed of upcoming commitments and responsibilities

  • Prioritize conflicting needs; works efficiently and proactively to follow projects until successful completion, often with deadline pressures.

  • Plan and manage travel arrangements for the GM Europe and the Head of Functions

  • Manage the expense reports for the GM Europe and the Head of Functions

  • Facilitate the creation of purchase orders and supplier creation

 

Events coordination and logistics

  • Organize the regular touchpoints with the GM Europe and his team and coordinates the participants and the agenda – takes notes and monitors all meetings.

  • Prepare slide decks for meetings, compiling inputs and slides from participants and revising as needed

  • Lead the organization of on-site and virtual seminars, meetings, proactively proposing locations and submitting draft agenda addressing the different objectives of the meeting

  • Partner with the Communications team and if needed, with a small internal team and external agency, to organize the annual Europe Convention and quarterly townhalls

  • Provide hands-on communications support to the GM Europe and the Head of Functions, including drafting presentations, acknowledgement letters, correspondence and other tasks

 

Communication

  • Collect valuable topics and team achievements and liaise with the Communications, Cluster GMs and HR teams to create impactful internal communication

  • Coordinate with HR Europe team the monthly updates of the organization charts

  • Propose initiatives for the Senior Managers you support for posting messages on social medias and coordinates with Communications

 

Qualifications: 

  • University degree with at least 10 years experience in assisting senior managers/leaders within international companies, ideally in matrix organizations

  • Strict sense of confidentiality

  • Fluent in English – Italian and French a plus

  • Excellent communication and organization skills

  • Strong problem-solving skills and ability to work in a fast-paced environment

  • Ability to work independently with attention to details

  • Flexibility to work within constantly changing priorities

  • Advanced MS office skills

  • Social/digital management skills would be a plus
